you think causes it to fail?
Projects are
prepared or planned thoroughly so that one can have satisfactory results. It is
not advisable to work on projects within a pinch of time because it might cause
a problem for the project. Every project has to follow processes, these
processes guides the team working on a project. In following these processes
one can have a lead and it will be the key in fulfilling the project at hand. There
will be a lot of confusion and difficulty in making the project that is why
applying these processes will result to the project in the making to be at
ease. Having prepared for the project processes would be an advantage because
in doing so, the team can do their individual work based on the planned process
and the team can have their schedule in every work they would have to do. So
all the team needs to do is to follow on the processes so that they won’t be
confused and they wouldn’t have hard time thinking along the way. By having
these processes they will be ready and they can easily find a solution on the
problems that might arise because they already have a project process. There
really are different kinds of process group that one should follow; it is the
initiating, planning, executing, monitoring and control, and closing process
group.
Basing
on the given project case, the team working on the project did encounter a lot
of problems. There are problems that are in connection with the time schedules,
project manager, the team, communication and a lot more which made the project
unsuccessful. Though, it was made a lot worse because they have failed to do
the right project phase or process.
They
failed in the initiating phase or the initiating process group. But, what do
you do in the initiating process group? In the initiating process group, it
defines and authorizes the project or the project phase. By initiating process
group the entry criteria are verified, including the availability of the
required resources. Whatever requirements that the team has been found needed
for the project or the resources that they would need to have for the project
they want to finish.
The team would
have a hard time if they weren’t able to formulate the right ideas and things
to do while they are in the initiating phase. If the team wasn’t ready or
didn’t clearly think of the initiating phase then there really is a big chance
of the project to have problems while it is still in the making. Failing to do
the right study on the project might cause underestimation which would cause
miscalculation. If there will be miscalculation in the initiating phase then it
would result to problems. The initiating process group is one of the key roles
in making a project because it would be the very beginning or the process which
will identify what would be needed in the project. This would also be the phase
wherein the team would be able to speak up on what they would need to be able
to finish the project. This would be the phase where they’d gather all of the
required resources and the phase that would confirm every decision that have
been made by the contractor and the project team.
They also failed
on the planning phase or in doing the planning process group, but what is it?
The planning process group defines and refines objectives, and plans the course
of action required to attain the objectives and scope that the project was
undertaken to address. Having a good planning process group can help gather
information from many sources with each having varying levels of completeness
and confidence. The planning processes develop the project management plan.
These processes also identify, define and mature the project scope, project
cost and schedule the project activities that occur within the project. As new
project information is discovered, additional dependencies, requirements,
risks, opportunities, assumptions and constraints will be identified and
resolved. Significant changes occurring throughout the project life cycle
trigger a need to revisit one or more of the planning processes and, possibly,
some of the initiating process.
They have
mistakenly ignored or they didn’t give much attention in this phase. It is the
phase where the team would have to think of the ways to proficiently do what
are the necessary actions for the project completion. To plan what are the
right schedules so that the team would be able to do their work in full
cooperation. Seeing through the case they weren’t able to plan very well
because they have different time table and the team wasn’t able to fully
cooperate in the project. They really lack project planning because of their
lack of communication with the team and because of that it was like they were
working individuals. They weren’t prepared on the possibilities that would rise
as a hindrance to the project. It might be that they have underestimated the
project and they didn’t think much of other factors that might have occurred in
the midst of the project making. They lack proper conceptualization in
connection with the project because they weren’t able to formulate the possible
happenings that might come up and the proper solutions for these problems.
Time was one of
the essentials in the making of the project and also it was one of the things
that the team lacks while they are working. The time that they have allotted in
making the project wasn’t enough to cater the every needs of the project. They
have possibly thought that the time given to the team to work on the project
was already enough, but it has become one of their biggest errors in planning. Clearly,
they haven’t thought of the constraints in their individual time and what would
be the best solution to it. Following the planning phase and doing the given
work on time is a good thing and a good example. By doing that, it proves that
the team is showing complete cooperation and focus which can be prove handy if
they aim on finishing the project. Creating and setting up schedules in the
planning phase would maximize the given time in creating the project. It would
also contain and resolve problems in the expense of a little time because of
being prepared. It would also conserve time which is excellent while working on
the project. Time management is very crucial while making the project because
it could be the means of the project to fail or not.
The team should
have thought that if they weren’t able to look through on the planning process
then the project could fail. Misconception and the failure to plan what would
be their course of action has made the project to fall short. There might also
be other instances that the team wasn’t able to gather a great number of
information that the team would have needed, so it only means that they have
not optimized and attain full understanding in the planning process. This also
means that they have not thought through the project with all angles or so to
say with every possible outcome while they are working. This only a proof that
studying the project and brain storming with the team can prove to be an
essential into the finishing of the project.
They also failed
in the executing phase or the executing process group. The executing process
group integrates people and other resources to carry out the project management
plan for the project. It is consist of the processes used to complete the work
defined in the project management plan to accomplish the project’s requirements.
This process group involves coordinating to people and resources, as well as
integrating and performing the activities of the project in accordance with the
project management plan. It also addresses the scope defined in the project
scope statement and implements approved changes.
Cooperation is
also an essential in the project making which the team has completely put
aside. There were lack of cooperation between the team and the project manager
which has been proven a mistake. The project manager not being able to
cooperate with the team members is one of his/her fault and they weren’t able
to come up with this probable happening to occur. The team wasn’t able to
provide a quick solution to this problem and it took a lot of time. There were
problems in the project that wasn’t quickly provided with a resolution which
made it harder for the team.
Whatever changes
that the team has thought of are part of the executing phase. If ever there
were changes then it should be executed immediately so that the idea won’t be
dismissed. In their case the things that they have planned wasn’t followed and
so they also failed to execute the right processes resulting to the
difficulties in the project. The team should have to organize their planning
phase so that in the executing phase only the changes that have been proposed
are the remaining problem. But, there would be other occurrence that might come
up the team will just have to review on the planning phase and if it is already
resolved then they can continue working on the allotted time for the executing
phase.
They have also
been proven to fail on the monitoring and controlling phase or process group. Monitoring
and controlling process group regularly measures and monitors progress to
identify variances from the project management plan so that corrective action
can be taken necessary to meet project objectives. It consists of those
processes performed to observe project execution so that potential problems can
be identified in a timely manner and corrective action can be taken, when
necessary, to control the execution of the project. The project team should
determine which of the processes are required for the team’s specific project.
The benefit of this process group is that project performance is observed and
measured regularly to identify variances from the project management plan. It
also includes controlling changes and recommending preventive action in
anticipation of possible problems.
The project
manager wasn’t able to monitor the progress of the team and what they have been
doing in the past months. Communicating with the team should have been one of
the priorities of the project manager since the team is just subcontracted. By
following up on them and in the project will only show that the project manager
has observed the every development made on the project. Also by monitoring,
whatever is the inconsistency between the project and the project plan can be
easily resolved. In gaining control, whatever corrective actions that should be
applied can be easily concluded and changed. The project manager should have
been active in monitoring the team so that they can be guided and no matter
what action they decided to do is always observed. Monitoring and controlling
the project execution and progress should be timely watched by the project
manager so that he/she can manage the changes made and prevent actions that
might be proved as an inaccuracy.
In doing a
project the team should be prepared and has everything well-planned, having a
process to follow so that there can be a lead. Providing a process to follow
can help the team lessen their worries and that everything can be straightened
out. A process can be proved essential because following these processes, the
team can be able to easily do actions to help the projects progress to be
faster and they can easily to corrective actions if necessary. Also, by being
cooperative and always having communication within the team the project can be
monitored and is well observed. There should always be proper communication
with the team so that whatever they have decided to do can be executed
immediately. They should also be time conscious and they should follow the time
frame planned so that whatever they do it will go as planned by the team. Since
time management is one of the things that has a great role in the completion of
the project it should always be observed.

As a project manager how would
you proceed with the recommendation of the LGU?
Being a team
leader, a project manager has a big load of responsibility. Deciding every
action to make, thinking what would be better and having the image of what
could be the best for the team, the group or the project itself. To be the one
carrying out every problem, solutions, possible outcomes of every assessment
that is made and every idea that would be the best for everyone. However,
having every single responsibility rely in your hands, it would make every
decision matter and every mistake account to you. Being a project manager you
may have the power to hold and manage people but as what they say, “Great power
comes with great responsibility”. The project manager will be the one
responsible for the good, bad, best or worst outcome that will possibly happen
in the progress of the project. The person who will be the one accounted to be
the man behind the work of his team, their guide and their person in charge.
The work his employees will clearly reflect on how he handles them and how he
manages everything within the team so if the employees won’t do well it might
also reflect to him as the one who manages them. But, you can never expect that
the person managing the project is the one responsible to the failure made by
the team because as a team they can be accounted as one.
Considering the
project case the LGU had some propositions concerning the project. What are the
recommendations that were given by the LGU?
First, the project
development was months delayed (almost a year and counting). Second, the
software was not user friendly and last but not the least, the software
presented was still incomplete. These were the given recommendations of the LGU
which is in connection with the project development. How will I proceed with
the recommendation of the LGU, if I were the project manager? If I were the
project manager, basing on the recommendation of the LGU, would like to appeal
to them to continue the project that is unfinished. If ever that the LGU will
approve, I will proceed to the following actions:
I will recreate the
team or regroup the team so that the software development can proceed as what
is planned. In doing so, there will be a new team and that the LGU will be able
to look forward to the new team. By recreating the team it would still comprise
of the system analyst, the three developers/programmers. As a newly created
team we will work on the incomplete project or else if ever the LGU would
request for a new project, depending on the decision of the LGU. Considering
the decision of the LGU, whatever is decided then it will be duly applied or
worked on.
I will set milestones
which will help the progress of the project. By setting up these milestones will
make the overall process manageable. So, there will be breaking down of the
project into various goals which will be set as stepping stones that will be
accomplished along the production of the project. This will help the team, in
dividing it there will be bits of task making it easier for the team to
accomplish, in a productive manner. We will set these tasks to be a step into
achieving the overall goal. It will also help the team which is working on the
bits of the project, in a way it will be able to timely work on these little
tasks which will have to be done. This would also help the team to work with
their own pace since they won’t be rushed.
We will restart the
initiating phase since in this phase the past team has failed to work on the
right process. By looking through the past initiating done by the past team,
problem that they have encountered can be avoided or because of this we can be
prepared if ever the same complications arise. We would have to review or
construct a new plan so that everything can be noted since there are problems
that would just accidentally arise or there would be constraints that might
pop-up then the team can be able to prepare. Being prepared in random problems
that might come up is better than facing the problem without a counter measure.
It would be like going into war without having any weapons to fight.
As a new team we will
have to construct a new planning phase so that we can redefine the objectives
and so that we can analyze what would be the best action to take. In doing so,
we can gather new resources and review the past plan made by the former team being
prepared what to do if ever there would be problems that might arise. Preparing
the team to a whole lot of new project schedules and activities provided that
it is reviewed, and would help attain the objectives and scope that the project
would have to undergo. This would greatly help the team since the planning
phase is reevaluated.
I will have to set up
a new communication plan to be able to update the LGU timely about the progress
of the project. In this way, the LGU will be consistently posted about the
project developments progress. It will also keep the team duly monitored and
kept under control while working on the project. Keeping the LGU posted will be
of help because the LGU might have requests regarding the project so the team
can be able to work it out, fast. Having constant communication to the LGU is
good; they might want changes in the project and because of this communication
these changes can be applied early. So, stable communication to the LGU may
help the fast development of the project.
Being the project
manager I will set schedules that will suit the schedule of the newly created
team. In doing so, we will have proper communication and updates could be a lot
faster since we will be working within the same time. Being able to remain intact
would help the progress of the project to be faster. There won’t be a problem
on the team unless there would be personal problems that would come on the way,
though having the team intact is already a good step into finishing the
project. There are times that the team members rely on the project manager so
being able to work in the team in complete accord would help lessen the
constraints. Also, being able to be present in the phases that the team will
come across would be good to be able to easily provide the team assistance, if
ever it is needed.
We will have to
recreate the executing phase. By having reviewed the executing phase the team
would be able to keep track of the changes that will be or have been made in
the project. The executing phase will come smooth if the planned action didn’t
go wrong. Since the executing phase is a phase where everything would have to
keep on moving forward there should still be monitoring to do. There should be
a lot of following up to do because there will be a number of changes to apply
in the executing phase since the executing phase doesn’t really remain
constant. By keeping track of these changes in the executing phase if ever
there are bug or if there are problem in the project the team would be able to
detect it quickly and execute the proper action for the said problem.
We will have to fix
the BETA which have been undergoing for testing and has been unprogressive for
months. Working on the left work will make it faster since it is already
started and there will be fixing left and we won’t have to recreate the whole
software. Fixing the BETA can help so at the least it can work and will be able
to continue in the user acceptance testing. By fixing the BETA this would also
mean that the LGU can use it and can proceed unto the instruction phase where
they will have to teach the users how the software works. This will be a great
help since the users can be able to try and would be capable and competent
enough before they will be able to proceed on the final software.
The software will
have to be reset so that it will be user friendly. By resetting the software,
we will have to observe on the need of the LGU which requires the software to
be user friendly. Since, not everyone is knowledgeable about such software then
this problem should be one of the things that have to be complied. In doing so,
the software progress will be able to meet the terms provided by the LGU which
is having it to be user friendly. Undergoing the resetting of the software
resolving the problem involving the user interface will help out the team
because being able to solve it will also mean that the team can work unto the
other complications.
The modules that have
bugs and the other modules that are unavailable for testing should be finished or
should have to get done. In finishing the debugging of the former bugs found in
the modules that would make the team proceed to the awaiting task. Working on
the other modules that are still unavailable for testing should be done on
schedule so that if there have been changes to be applied it will be done
without taking too much time.
There will have to be
constant or continuous monitoring and control of the progress made with the
project. Keeping track of the progress of the project can also mean that the
team can provide proof of the improvements that have occurred in the project to
the LGU. Having monitored the events would also show that there have been
developments in the project ever since the project have been restarted. There
would also be a need to monitor the user acceptance testing. Keeping track on
the user acceptance testing will help the team take note on the progress of the
software. It will also be useful to the project because the team will be able
to refurbish bugs and in doing so the team can work on the changes that has to
be made. By gaining control of the projects changes anything can be easily
accomplished which would help lessen the time usage. Changes that have to be
done can be easily located by the team because every move the team has made
will be properly observed. In gaining monitor and control will make debugging
lighter since every action made in the project have been kept tracked.
The closing of the
project should be formalized. The closing process will definitely show the
end of the project, product or the service made by the team and it will have to
be properly observed. By having the closing process it would also show that
every activities that involved the project should be erased or terminated
because that would show that the project has been made or done. This will
signify the end of the project deciding whether the team was able to meet the
expectation of the LGU. This also means that the contract has come to an end,
and if ever the project failed that actions will have to be discussed. However,
if the team has finished the project then it also means that the project
management in that company is effective and successful. And, that would also
mean that the team was good enough to show finished and satisfying results.
As the project
manager working for the completion of project is one of the main goals, but
managing the team is one of the steps that would lead to the reaching of that
goal. There is a big responsibility residing in the position of the project
manager though being knowledgeable enough can lead to the success of the
project. If the project manager is able to assess the right things to do will
help to the team and the project development.

If
you're a project manager, will you declare it as a failure? Why?
Since project
management is no small task. It has definite beginning and end, and is not a
continuous process. Project management uses various tools to measure progress
and track progress tasks. There are techniques, guides, methods or certain
patterns to help manage a specific project. Project management has various ways
in which a project is initiated, planned, executed unto completion. There are
times that a project fails or a project ends up incomplete. True enough that
not all projects end up successfully but there are many reasons behind its
failure. In this case there were problems that have caused its failure. These
cases proved to have a great impact which caused the project to fail. The
project from the very start wasn’t viewed to be complicated or it was just
taken easy because the actions made by the ones involved in the case doesn’t
seem to show that they have shown effort since they have left the project
halfway through and left it hanging. Given the situation, if I were a project
manager, would I declare it as a failure?
If
I’m a project manager definitely I will declare the project as a failure. There
were a lot of unfinished and practically the project was still undergoing the
user testing. A lot of things can be noted about the project. These
complications can be provided with solutions though.
The project development was
months delayed. This issue can be considered as one
of the basis of declaring it as a project failure. Having it delayed might be a
result into some complications between the LGU and the EMCA for not being able
to finish the project on time or on schedule. It will be considered a breach of
contract since the team wasn’t able to finish the project. Though the contract
was not discussed definitely this issue will surely appear if the unfinished
project was to be discussed. But, in the general idea this reason has a big
impact and has affected the project. The project should have been done in one
year time but what happened is that the project is still ongoing testing and
debugging. Clearly, because of this reason one can say that the project is
considered as a failure.
The software was not user
friendly. Seeing the software to be not user friendly it
is a complication. This problem will result to improper use of the software. There
is a big possibility that the user wouldn’t be able to use the software
properly and it might cause many problems. It would also be hard on the part of
the user because they would be able to optimize its usage. It being not user
friendly will make things worst thinking that the project was months delayed
and it not quiet sociable for a user. If ever the project did succeed the
software would cause a commotion to the users. The developers should have keep
in mind that not everyone is capable enough to be able to understand such
software because there are different kinds of users, users that are young and
active to understand and old which might make it harder for them to be able to
catch up.
The software presented was
incomplete. This would only show that the project can’t be
used and it won’t be useful to the LGU since it is still incomplete. But, the
idea of it being incomplete will either be good for the LGU or not. I can say
that it is good because the thought of it being incomplete will give an initiative
to the LGU that they can be able to innovate the project. Though, the project
really is incomplete so one can easily conclude that the project really did end
up as a failure. Presenting an incomplete project then it is also the same as
presenting a half baked effort since the project is still incomplete. Showing
the project as incomplete might give an idea that the team wasn’t able to do
their jobs well and everything didn’t go according to the project plan. Since
the project wasn’t completed then there won’t be an application of closing the
project unless it is already concluded that the project won’t be continuing any
further.
There won’t be a team to work on
the project. Losing the team would also mean that
the project would remain as it is, though technically the LGU can rehire
developers or regroup a team. This would also mean that if there will be a
regrouped team whatever is left will be for them to finish or they will have to
rebuild the whole project. Having the team work on the incomplete project might
make the development faster or harder for the new team. The loss of the team or
the other members has resulted to the project being unprogressive and
definitely the failure of the project.
They have failed to observe the
initiating phase. The initiating phase is the most
crucial phase since it’s the phase where the scopes are being defined and the
criteria are being verified looking over the availability of the resources.
Failing on the initiating phase would deal a really big problem to the following
phases and since they failed already on the initiating phase then the result
was clear, the project failed. They have failed to do the right study on the
project that might have caused underestimation which resulted to
miscalculation. By mistakenly concluding an idea to the project might have
caused it to fail. The initiating phase should have been taken a thorough study
since the initiating phase is where you have to define the scope of the
project. Also, whatever the team wants to voice out should have been said in
the initiating phase so that whatever it might be then it will be already heard
by everyone involved in the project. Since, they have voiced out what they
might need then any resources and such will be prepared so that it will be of
help to the team. The team should be open enough to tell what can be of use to
them or what they need also the things they ought to know that might be helpful
for the project. Failing to do so caused the failure of the project. Therefore
someone working on a project should keep a close eye on the initiating phase to
avoid any further complications within the project cycle.
There was improper planning of
the project. By failing to plan the project is
also saying that they have planned to fail. The planning phase has also a big
role in the project cycle since this where they will have to define and refine
their objective and plan through what would be their course of action. If there
has been improper planning within the project then the objectives that the team
has constructed won’t be attained. Failing to plan might cause a problem to the
development of the project management plan. It would affect the project scope,
project cost and the schedule of the activities that would occur within the
project. There would be times that one might discover new project information,
not being able to plan the project effectively might add dependencies, risks,
assumptions and constraints that would cause the project to fail. Also,
constant changes definitely happen while working on a project so not being able
to plan ahead what to do would cause to the failure of the project.
They didn’t work as a team.
That project was supposed to be worked by a team but it seems like it is worked
on singly. Nevertheless, because of the team slowly breaking up leaving only
the system analyst it made the job a lot harder. Them, leaving the team made
the progress or the development of the project a lot slower and were beginning
to be unprogressive. That problem should have been found a way out because
leaving it as that has completely made the project stop on its track. If they
have full cooperation concerning the project then I suppose there would be a
different result. One of the reasons why the project failed was because the
project manager wasn’t around during a particular event where he/she was
supposed to be present. That happening has made the team unstable since the
project manager wasn’t there to guide or help the team if ever they needed
something. Working on a project needs to have presence and the sense of
responsibility since it is a task which is expected to have results, though
without these results it is a failure.
There are modules that are still
undergoing debugging and other modules aren’t still available for testing.
Given the fact that other modules are still undergoing debugging then that
would mean that they would have to finish these modules first so that they can
move on to the other modules. These modules should have to be done so that they
can work on the awaiting modules. If they have left these modules still in
debugging it might be that they weren’t able to have the resources they might
need or it might be because of the complications that have arise while they are
working on the project. Not being able to debug the modules on hand has taken a
toll on their schedule since they would have to get it done first before moving
on to the next. They should have finished the other modules based on their
planned schedule so that the other modules that aren’t still available for
testing can be done within schedule. This problem can be considered a factor in
which has caused the project to fail because they were caught in the middle of
the module which is still being debugged and it has slowed them down. Them,
trapped in this complication made the project to fail since it will have to
take them time until they can finish the module, and since the team has been
split up and the system analyst is the only one left it has definitely
unprogressive considering the fact that only a few is left to work on the
project and it is behind schedule.
They have failed to keep monitor
and control. Not being able to monitor the
project was one of the causes of its failure since the development of the
project wasn’t regularly checked. This would also say that they haven’t paying
too much attention o the project. If they have monitored the project well then
they would be able to easily track down the cause of the slow progress of the
project. By gaining control of the project would help so that any necessary actions
that were taken can be duly monitored. Failing to monitor and control the
project performance might also be hard because it won’t be observed and
measured regularly. They might have failed to control changes and wasn’t able
to anticipate possible problems that they may have encountered.
Due
to these reasons I can say that the project has failed. Everything should have
to be well studied and the project should have to be planned so that the
progress of the project will be fast. Though, there would be times that the
project can’t be done in a moment, the least that the team would be able to do
is that to be prepared and to know very well what would be the best action that
can help the production and the progress of the project. The team should have to do their best to
finish the project because it is a task they have accepted and signed. Keeping
that in mind the team shouldn’t have split and continued to work for the
project because they have accepted the project. It can be a basis for them to
work together though based on the circumstances in the case that didn’t help to
stick them together; it might be that they didn’t see it as a reason to stay.
So, definitely in the initiating phase as they were just creating the group it
should have been comprised of people who are willing enough to do the work and
see to it that it would have satisfying results.

What steps would you do to make
it succeed?
There are times that
a project fails or a project ends up incomplete. Some projects can be completed
though with the right processes to undergo and more. A lot of problems and
complications might arise in the midst of working on a project but there are a
whole lot of possibilities to have every solution one might need. True enough
that not all projects end up successfully but there are many reasons behind its
failure. One can’t easily blame anyone who’s working on a project unless it is
really done on purpose or if that person wasn’t able to comply to his/her
fault. Since, they were a team then they should share the same responsibility
regarding the project unable to be finished on schedule. They should be fair
enough to view the project equally and also the fact that they weren’t able to
complete the project given to them.
Looking unto the case
there were a number of problems and constraints that has pop-up making the
project considered as a failure. These problems are produced due to failure of
properly following the project phases not only the project phases but also
there were some of mistakes made while they were working on the project which
ended up into the incompletion of the project. To make the project succeed I
would like to consider the following steps:
Represent
the project to the LGU if they would want the project
to be complete. There are some possibilities that the LGU wouldn’t want to
continue on the project or they would just find another contractor which will
work on the project. Though, representing to them about the project knowing
that it is already started and has only a halfway to go until it is finished
then the LGU would think on accepting the offer. This would also lessen the
work for the team unless the LGU would want to completely rebuild the project.
Also, there should be a statement on which the team should be able to submit
the complete and working software wherein all the declared problems provided by
the LGU is already provided with a solution.
If ever the
representation of the project has been accepted by the LGU then I will proceed
unto the next action I will need to imply. There would be a restart on the
project or it will need recreation and definitely a complete cooperation of the
team that will be working on the project. Proceeding unto the following steps:
Recreate
the team or regroup the team so that the software
development can proceed as planned. This would also make the team to become
anew and there will be a whole lot of looking forward to the new team. The team
should still comprise of a System analyst, thee Developers/Programmers and also
a Project manager, completely capable of monitoring and guiding the team. The
newly created team will either work on the incomplete project or create a new
project. That decision will also be discussed with the LGU and it will depend

Reinstitute
the planning phase so that the team can redefine the
objective and review what course of action to take. It will also help the team
gather the right resources and also it will help the team analyze what are the
mistakes made by the past team, preparing them what actions to apply if ever such
problems arise. Preparing the team a whole lot of new project schedules and
activities provided that it is reviewed, and would help attain the objectives
and scope that the project would have to undergo.
Have
a communication plan so that the LGU will be updated
timely about the progress of the project. This will make the LGU consistently
posted about the progress of the project. It will also keep the team duly
monitored and is under control which will keep the project working. This would
also help because continuously communicating with the LGU might be a way in
order to know whether the LGU has some request involving the project. The LGU
might also have things they would want to change so keeping in contact will
make the changes applied a lot earlier.
Have
the project manager set schedules which will suit the
schedule of the subcontracted team. By doing so, the team can have proper
communication and fast update. This will also help the progress of the project
because the team has remained intact. There won’t be a problem on the team
unless there would be personal problems that would come on their way though
having the team intact is already a good step into finishing the project. There
are times that the team relies on the project manager so being able to work
with the team on accord would help lessen the constraints. Also, having the
project manager always present in the phases that the team has come across
would mean that he/she can easily provide assistance if needed.
Review
the executing phase. In reviewing the executing phase the
team can keep track of the probable change that has been or have been made in
the project. Also, working on the executing phase will come smooth if
everything has gone according to their plan. So, there should be a lot of following
up to do in the executing phase especially if there are a great number of
changes that has to be applied in the project. Also, being able to follow
whatever is changed in the executing phase would help because if ever there
were bugs or if somewhere in the project there have been problems the team can
easily spot it and execute the right actions.
Fix
BETA
which has been repeatedly undergoing for testing and has been unprogressive in
months. By working on these leftover work it will be a lot faster than before
because there will only be fixing needed and not recreating unless it isn’t
really working. In fixing the BETA the software can be able to at least work
and can continue unto user acceptance testing. By fixing the BETA this would
also mean that the LGU can use it and can proceed unto the instruction phase
where they will have to teach the users how the software works.
Reset
software so it will be user friendly. In resetting the
software the team should be able to comply on the need of the LGU which
requires the software to be user friendly. Since, not everyone is knowledgeable
about such software then this problem should be one of the things that have to
be observed. By doing the resetting of the software it will also be a progress
as to meet the terms of the LGU which requires it having to be user friendly.
Through resetting the problem involving its user interface will be solved and
the team can move on to the other complications.
Monitor
user acceptance testing. Keeping track on the user acceptance
testing will help the team take note on the progress of the software. It will
also be useful to the project because the team will be able to refurbish bugs
and in doing so the team can work on the changes that has to be made.
Finish
modules that have bugs and other modules that are
unavailable for testing. By finishing the debugging of the previous bugs found
on the other modules the team can precede to the next task. Proceeding unto the
other modules that are still unavailable for testing should be done duly on
schedule so that if there will be changes that should be applied then it will
be easily done.
Continuously
monitor and control whatever progress made within the
project. Keep track or monitor the progress of the project, by then the team
can also provide a proof of improvement to the LGU. This would also show the
LGU that there are developments in the project since it has been started. Also,
by keeping control unto the project any changes made can be easily accomplished
which will also help lessen the consuming of time. If ever there are changes
that have to be done it can be easily located by the team because they have
monitored every move they have made. This will also make debugging a whole lot
lighter since they are keeping track of their every action involving the
project.
Formalize the
closing of the project. The closing process will definitely show the
end of the project, product or the service made by the team. By having the
closing process it would also show that every activities that involved the
project should be erased or terminated because that would show that the project
has been made or done. This process group would also signify that the project
is already finished whether it has met the client expectations or not. It would
also mean that the contract is done unless the project resulted to fail, then
that can be another story. However, if the team has finished the project then
it also means that the project management in that company is effective and
successful. Their process group was good enough to show finished and satisfying
results.
Following these steps will really help
the project development though everything resides on the people working on it.
It will need their determination and the will to finish the project. Cooperation
should always be present so that the team can work on the project productively.
Working as a group and doing their best to be able to finish the project is
definitely essential since they are a subcontracted group. Professionalism
should always be in the front line and that the team should keep it in mind
given that they are the third party of the group. Being productive is one of
the main goals of the team. Also, being able to finish the project within
schedule and it being complete, satisfying the LGU would be excellent. There
should always be a product to show to be able to meet the expectation of the
contractor and so that they can produce satisfying results which will prove
that the team has worked on it with refined effort.
If ever the LGU didn’t accept the
offer then that would mean that the project would remain incomplete and would
remain on the testing phase without any progress. The project might either end
up continuing its testing or it might end up closed depending on the decision
of the LGU. Though, the fact that the project was already started and was only
left hanging the LGU might as well think of finishing it considering its
circumstances. Since, the LGU has thought of having this project and has
already installed the other equipment there is a great possibility for the LGU
to accept the preceding option.
